First of all we need to know some meanings.

Source: http://www.deloitte.com/dtt/cda/img/content/press-release-section.jpgPress Release

A news release, press release or press statement is a written or recorded communication directed at members of the news media for the purpose of announcing something claimed as having news value. Typically, it is mailed, faxed, or e-mailed to assignment editors at newspapers, magazines, radio stations, television stations, and/or television networks. Commercial press-release distribution services are also used to distribute news releases. Sometimes news releases are sent for the purpose of announcing news conferences.

A press release is different from a news article. A news article is a compilation of facts developed by journalists published in the news media, whereas a press release is designed to be sent to journalists in order to encourage them to develop articles on the subject. A press release is generally biased towards the objectives of the author.

The use of news releases is common in the field of public relations, the aim of which is to attract favorable media attention to the PR firm’s client, and publicity, the aim of which is to attract favorable media attention for products marketed by the clients.

Elements of a Press Release

While there are several types of press releases (such as general news releases, event releases, product press releases, and more recently social media press releases), press releases very often have several traits of their structure in common. This helps journalists separate press releases from other PR communication methods, such as pitch letters or media advisories. Some of these common structural elements include:

  • Headline - used to grab the attention of journalists and briefly summarize the news.
  • Dateline - contains the release date and usually the originating city of the press release.
  • Introduction - first paragraph in a press release, that generally gives basic answers to the questions of who, what, when, where and why.
  • Body - further explanation, statistics, background, or other details relevant to the news.
  • Boilerplate - generally a short "about" section, providing independent background on the issuing company, organization, or individual.
  • Close - in North America, traditionally the symbol "-30-" appears after the boilerplate or body and before the media contact information, indicating to media that the release is ending. A more modern equivalent has been the "###" symbol. In other countries, other means of indicating the end of the release may be used, such as the text "ends".
  • Media Contact Information - name, phone number, email address, mailing address, or other contact information for the PR or other media relations contact person.

To create a Press Release or a complete Press Kit you need to filter the information that is really important from the other that is irrelevant. Get their attention by showing to them what kind of event you are hosting and why it’s important. Convince him that this is a news and not just a promotion from simple group of students that don’t have noting to do. Show to them that your and hosting a serious event.

Word Document
The first time I’ve heard that the journalists could delete an email without read it, i didn’t believe. But that’s completely true! Believe now or your event will fail!
First of all you need to create a Word Document with all important information. Don’t even try to fill the Word Document with all information. More than one page and it will be deleted by the journalist.
Did you ever heard the conditions from getting a credit from a bank in a radio spot? Did you aver seen the small letters from the conditions from getting a car or a credit in a TV Spot? That’s the way you need to do your text. Small with all information.

Annexes
Images are sometimes more important that the text itself. Send some photos in the Press Kit from the game of your competition, send a trailer from the game, send a copy of the poster and a schedule of the event.

Send To
Everyone that you know. Free journals, magazines, promotion companies, media related, etc..
After you send it call them to confirm the reception of the Press Kit. 90% of the times the e-mail is full and they never look to them. Try to get a personal e-mail from a journalist or from someone responsible from the agenda or the promotion from events in their products (magazines or journals).
This work is hard at the beginning but next time you’ll have a full address book with good connections in the media world and it will be much easier.
Call again to confirm if the news are their interest. Probably they will present this news in a meeting from they teamwork and they’ll ask you to call later. Note the day of the meeting and next time send the press kit 1 day before ;).

Trade
Every mail that you send to the media they expect something to trade. They promote your event and you give something to them. In Portugal, SIC is promoting Imagine Cup with news articles in TV and of course Microsoft is giving to them exclusivity in this news and they are costing the travel and host to the country of the World Final to the journalists.
Something that you can trade in the beginning is give to your participants the product of your media. If it’s a radio station you can broadcast in the event the radio station, if it’s a TV station you can get some TVs on your media channel. Everything is possible to trade. If you ever work in a Call Centre you are able to do this job efficiently.

Independent Group
Of course it’s important to your event that from the beginning you create an independent and exclusive team to do this work. You may don’t believe but this is the most important part of the "game". Get a bad promotion and you’ll have an empty house. Remember that you are getting participants to your event and creating participants to your next event. Work with your eyes in the future.

E-mail
Do you remember the text that you creat to the word document? Get it smaller and insert in the e-mail. As you can imagine they need to get an overview from the kind of the event to get interested and open the files that are annexed in the e-mail. In the mail signature insert your name, phone number, website of your event, e-mail and a small logo from the event.

How to Host a XBox 360 Competition in your College

How To Outubro 26th, 2007 12:10 am

Adicionar aos Favoritos
Tags: , , , , , , , , , , , ,

I’ve created a new categorie called "How to". It will host a group of explanations about how to make events in your college around Microsoft technologies and products, and of course you can act the same way to make events to other companies.

Source: http://img.qj.net/uploads/articles_module/62913/xbox_qjgenth.jpgKnow your participants interests
To host a competition in your college, first you have to know what game is the most played by you colleagues. In my college there is a meeting room and there is a lot of people playing there, socialising there. 95% of the computers are running Pro Evolution Soccer 6 (recently they start playing PES 2008).

Chose the type of competition
Every game has different type of gaming. In PES, for example, you have a lot of rules that you can edit from game to game. See what’s the most used and put as the standard rule to your competition.

Chose the place to host the competition
A good competition has the good adhesion of the participants, so, you have to choose the place in function of the foreseen number of participants. In my case, the perfect place is the meeting room. The participants are used to play there. You just have to take the competition near them.

The price
It’s difficult for the organisation to choose the best price, but you can make it simple by choosing the type of participants.

  • Professional Participant
    • Usually, a professional participant what’s money and reputation. It’s a kind of participant that evaluates seriously the rules of the championship and it doesn’t accept failures from the organisation.
If you want to host a competition to these participants host 5 competitions to amateurs first. First you have to get your sponsors trust and have a few usual participants to start a more serious competition.
  • Amateur Participant
    • An amateur participant, usually, want to get involved in competition for the fun and the conviviality between the participants. They also evaluates seriously the decoration of the place. Usually they like play in good seats, read some information about the product, talk with promoter’s girls, try games in console and they also like to see a good decoration around the concept of the game of the competition.
The price includes a small amount of money and/or a lot of goodies from the company (console, devices, cloth, shoes, mouse pad, etc..).
Start this kind of competitions with one company and stay with her forever. Be faithful and respected with you sponsor. That’s the secret to get your sponsor with the eye on you and in your projects.

Source: http://www.sirgeorgeyoung.org.uk/pageimages/lungsmall051102.JPGCampaign
If you have time start a Teaser Campaign, it calls your participants attention to your event. Next step is the campaign itself with flyers, posters and some promotion and advertisements. To help you i show you an example:

  • Teaser Campaign
    • Spread some posters (A4 size) for you college with a phrase, a image or both without mentioning the competition. If you want you can mention the sponsors. Take a look to this example.
Dress a t-shirt with the same content from the poster of the teaser. Usually it works near your friends and if your friends get curious, their friend get curious also.
Print a lot of small flyers and spread them wherever you pass. Take a look to this example.
  • Campaign
    • Spread a lot of posters promoting your competition. Play with images from the game in the competition, play with colors, play with your country culture, play with taboos.
Make an activity near your colleagues. In my case i would dress some girls like football players. That would pleased the people and would awake them to my campaign.
Ask you sponsor to put a banner into their website and ask them to send a mail to their mailing list promoting their sponsoring into your competition.
Create banners and badges to let the visitors from your website promote your competition in their website or blog.
Did i mentioned your website? That’s because you need one! You need a way to promote on-line and you need a registration service.
If you have money create a spot to a radio station. You can also ask a sponsoring to a radio station and/or to a TV station but on a first competition this is not viable. It is just viable beyond the fifth competition when the professionals get into it.
Try get in touch with companies that work to the people that you want to attract to your event. In my events i always talk with an advertising company that works to college people. They always have goodies that increase my events quality. Try to find this kind of companies.
  • Promotion
    • A lot of people confuses promotion and advertisement. Promotion it’s free, advertisement is payed.
Create a Press Release (I’ll create soon a How to create a Press Release) and send it to all media related to the content of your event. Call to them and ask them if it’s their interest cover the news. Try to get your event in all agendas of the city. All newspaper has an agenda with events of the week. Call to them and ask them to insert your event into their agenda. This is the most hard work, and you have to call several times to get in touch with a journalist or with someone "cool". Focus all your work in this work. Create a team just to work in the promotion. It’s here that a good event of a bad event is defined.
Start searching on-line websites about events and competitions and submit your event into their calendar.

Registration
The success of your event is defined by the quality of it. The contact with the competition participants is crucial to get their satisfaction. Create a cool e-mail to confirm their submit. Create a mailing list with latest news from the event. Create a cool badge to them. They love a cool badge! If you have money or a cool sponsor create a cool designed t-shirt to them. They like to being differentiated in that day. With a cool badge and a great t-shirt it’s a half way to get the success of your event and to reach the goal. Your participants and sponsors happiness. =)
If it’s an event related to Microsoft products or technologies you can use Microsoft Group Events to let your participant register into you competition. If it’s not Microsoft related you can create a form with JotForm.

The place
Choose a place that can hold all participants with comfort and all your sponsors stands. Also save space to the registration desk, the participants lounge area and create an area to let the visitors see the competition. Spread monitors everywhere and show on it the competition and spots from your sponsors. Spread posters and flyers from your sponsors also and promote an activity to those that are not in the competition. Everyone that pass in your place just to visit is a client to your event in the future and a client to your sponsors. This kind of costumers like girls also, so get some girls to liven up them.

Sponsoring
This is the most difficult part of the game. The success of your event is in your head. The innovation is your success. First of all, the sponsors has to be related to your event. If it’s related to XBox 360, of course you must contact Microsoft, they love new ideas and innovating people. Contact as well magazines about games and consoles. Get in touch with companies that make devices to XBox 360. Get in touch also with the company of the game from the competition. This kind of companies can hold all your budget. If not, ask the participants to pay some money. Probably, if it’s not expensive they’ll pay with a smile in their faces.
Don’t forget what i said, be faithful and respected with you sponsor.

If you have any questions about this subject send me a mail. If you found any errors in my english please send me a mail. I’ll apreceate that! =)
